This notice covers this website and enquiries you send us. If you receive care from us, ask us for the privacy information that applies to care records.
What we collect
- When you use the enquiry form: your name, email address and message, and, if you choose to give them, your telephone number, organisation and the service you are asking about.
- When you email, phone or WhatsApp us: your contact details and whatever you tell us.
- When you visit the website: our hosting provider records technical information such as your IP address, browser type and the pages requested. This keeps the website secure and working.
Please do not include health details or other sensitive information in the form. If you do, we will use it only to deal with your enquiry and will delete anything we do not need.
Why we use it, and our lawful basis
- To reply to your enquiry and discuss our services. Our lawful basis is our legitimate interest in responding to people who contact us. If you are asking about a service for yourself, it is also to take steps you have asked for before entering into a contract.
- To keep the website and form secure and free of spam. Our lawful basis is our legitimate interest in protecting our systems.
- To meet legal obligations, for example if a regulator or the law requires us to share information.
We do not sell your information, and we do not use it for marketing unless you have asked us to.
Who we share it with
- Netlify, Inc. hosts this website and receives enquiry form submissions on our behalf.
- Google provides our business email (Google Workspace), so enquiries and emails are stored there.
- WhatsApp (Meta Platforms) carries any messages you send us on WhatsApp, so those messages pass through WhatsApp's systems.
- The Care Quality Commission (CQC). Pages showing our CQC rating load the official CQC widget from www.cqc.org.uk. Your browser connects to the CQC’s website to show it, so the CQC receives your IP address. The CQC is responsible for its own website; see its privacy statement at www.cqc.org.uk.
Netlify, Google and WhatsApp act as our “processors”: they handle information only on our instructions. Some of their systems are outside the UK, including in the United States. Where that happens, the transfer is protected by safeguards recognised under UK law, such as the UK International Data Transfer Addendum or the UK Extension to the EU–US Data Privacy Framework.
How long we keep it
We keep enquiries for 12 months and then delete them. If your enquiry leads to us working together, we keep the relevant information as part of our business records for as long as the law requires.
Cookies and tracking
This website does not set cookies and does not use analytics or advertising trackers. Our fonts are stored on our own website, so no font service sees your visit.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use your information, or object to us using it;
- ask us to send your information to you or another organisation in a reusable format, where this applies.
To use any of these rights, email admin@virtuousbusinesssolutions.com. It is free, and we will reply within one month.
How to complain
If you are unhappy with how we have used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We will update this page if the way we use personal information changes. The date at the top shows when it last changed.
